Join our Team! Now Hiring for a part time Customer Support Rep

We’re looking for a bright, talented, professional who has a passion for servicing customers and wants to work in an energetic, positive environment. Join us to work with us for approximately 20-25 hours per week in our Newmarket Office. Hours can be flexible depending on the candidate’s needs. This person must have an exceptionally positive attitude, and be accustomed to working with customers on the phones all day. Must be used to a busy office with multiple things to work on at the same time.

You will work directly with our customers with their billing, changes, and claims while working hard to make the entire process simple and beneficial to them! The goal is to build up strong positive relationships, ensure growth attainment and increase our firm’s reputation.

Responsibilities:

  • Provide continuing service to customers including answering phones, addressing basic customer questions, handling billing issues, filing claims, and addressing simple policy changes.  This includes having professional conversations with customers, filing forms, and documenting every transaction.
  • Address office administrative tasks including handling mail, sending mail, and answering phones.
  • Creating and sending out certificates of insurance, auto ID cards, copies of policy paperwork, and other documentation.
  • Providing follow-up communications to make sure all paperwork has been completed, to ensure service has been exemplary.
  • Documenting customer interactions at all times in company databases.
  • Proactively reach out to customers via telephone, email etc. to set up meetings, follow up on our service etc.
  • Monitor insurance claims to ensure mutual satisfaction.
  • Constantly update job knowledge and learn about new products and services
  • Build strong relationships with customers and prospects with the goal to build lifetime customers.
  • Maintain a strong work ethic with a total commitment to success each and every day.
  • Assist with building processes and procedures while we continue to grow at a rapid pace.
  • Convey a welcoming presence while answering the phone, responding to client questions, greeting guests, and carrying out responsibilities that ensure a consistent appointment process.
  • Other administrative tasks as they arise.

Key Skills

  • Must possess a positive attitude and willingness to service and help customers at all times.
  • Amazing attention to detail including documenting conversations, researching questions, and providing timely responses.
  • Strong comfort with technology- including using email, spreadsheets, and document creation software. Must have experience entering information into databases or CRM applications.
  • Great oral and written communication skills. We work hard to educate all of our customers and make sure we are addressing all of their questions thoroughly and professionally.
  • Ability to manage time and prioritize to make sure all customers are getting timely responses.
  • Must be a self-starter willing to jump into the next tasks and move rapidly from responsibility to responsibility without a lot of hand-holding.
  • Strong desire to do the right thing for customers and provide them with an exceptional experience.
  • Pleasant and professional telephone manner

Education Requirements

  • High school diploma or equivalent required. Bachelor’s degree preferred.
  • 1-3+ years experience in a comparable office setting preferred
  • Pleasant telephone manner
  • Ability to explain complex issues and concepts to customers so that they understand them fully
  • Solid knowledge and comfort with email, word documents, spreadsheets, and utilizing databases.  
  • Proven ability to work with goals
  • Demonstrated ability to communicate effectively
  • Experience in delivering client-focused solutions and in creating long-lasting relationships
  • Outstanding interpersonal skills.
  • Strong attention to detail and a dedication to accuracy
